Privacy Notice

This notice explains how AxisCoach ("we", "us") handles personal information when you use our platform, in line with the Protection of Personal Information Act, 2013 (POPIA). It covers your information as a trainer using AxisCoach. The information you store about your own clients is governed by your own privacy notice to them (you can build one from a POPIA template in Settings → Legal & POPIA).

1. What we collect

• Account details — your name, business name, email and phone number.
• Business details — the information you add for invoices, such as banking and registration numbers.
• Content you create — clients, bookings, programs, meal plans, check-ins and invoices you enter.
• How you work — the few questions we ask when you sign up (whether you coach in person or online, how you charge, and what you would like set up first). These become your workspace's own settings and you can change them at any time in Settings.
• Technical data — basic logs needed to run and secure the Service (e.g. sign-in times, IP address).

2. Before you have an account

The sign-up page asks a few questions about how you coach before it asks for an email address. Those answers stay in your own browser and are not attached to a name or an email; if you close the page without creating an account, we keep nothing about you. Two cookies make that work — one that holds your place in the sign-up, and one that protects forms against cross-site submission. Both are strictly necessary to run the Service. We set no advertising or tracking cookies, and we use no third-party analytics.

3. Why we process it

To create and run your workspace, provide the features of the Service, keep it secure, handle billing when it goes live, and communicate with you about your account and support.

4. How it's stored & protected

We take reasonable technical and organisational measures to protect your information, including access controls and encryption in transit. Sensitive fields such as your banking details are hidden by default in Settings and require your password to reveal.

5. Sharing

We do not sell your personal information. We share it only with service providers that help us run AxisCoach (such as hosting and, once live, our payment processor), under appropriate safeguards, and where the law requires it.

6. Your rights

Under POPIA you may access, correct or delete your personal information and object to processing. You can export all of your data at any time from Settings, and request closure of your workspace. To exercise these rights, contact us using the details below.

7. Retention

We keep your information for as long as your account is active, and for a reasonable period afterwards to meet legal and operational needs, before deleting it.

8. Complaints

You may lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.
